ATTENDEE QUESTIONS:

A virtual expo is designed to replicate (and turbo-charge!) all the elements of a live event. Conveniently accessible through one easy-to-access interactive website.

  • Exhibition – Here you can browse or search for exhibitors suiting your areas of interest. Click on their stand to access further information, download resources, watch videos, visit their website or engage in text, voice and video chat with representatives manning the stands. You can even attend live online product demos streamed directly from suppliers’ own offices and factory floors.

  • Auditorium* – Delivering a memorable learning experience by providing progressive insights from industry leaders, technology giants, disruptors, parallel industries, academia and startups from around the world. In our online conference sessions you can expect exactly the same level of high-quality content FTE is renowned for at our live events and online webinars. Attend in real time, submit questions and answer audience polls, or watch OnDemand content at your leisure.

  • Chatrooms* - Here you will be able to meet and build partnerships with the most relevant, valuable contacts also in attendance. Search or filter our attendees list and connect with your fellow attendees one-to-one via text, voice or video chat; or network with the community in one of our discussion groups. FTE APEX Virtual Expo is designed to replicate a live exhibition hall. Each participating exhibitor will be able to choose from a variety of virtual exhibition booths, enabling them to promote and differentiate their brand and product portfolio just as they would at a physical event.

Within the exhibition hall, attendees can search and browse our exhibitors, before visiting their interactive booths where they can review a host of information about each exhibitor’s capabilities and, most importantly, jump straight into a real-time chat or video call to see a live product demo from the supplier. The exhibition will host interactive supplier showcases, product launches and exclusive announcements, from household names through to the most innovative startups and scaleups, to showcase their products, services and solutions in a dynamic virtual environment.

Use our exhibition directory, which categorises our exhibitors, allowing attendees with specific interests to easily find and learn about the products, services and solutions that meet their own needs.

The event is fully online - all features are accessible from your new-normal office space. FTE APEX Virtual Expo provides all the benefits of a physical event, without the travel expenditure. All you need is Wi-Fi and a desktop or laptop computer.

Post event, the site stays live for 30 days (Until midnight Friday 25th June 2021)

Virtual attendees will be able to access the FTE APEX Virtual Expo portal at any hour of the day to watch recordings of our ‘live’ conference sessions, watch OnDemand content and supplier pitch sessions, and revisit the exhibition hall to learn all about the products and services that can help them overcome today’s challenges, reinvent their business, and thrive in the post-COVID-19 world.

The event is fully online.

Upon logging into the FTE APEX Virtual Expo site, you will be taken to the event foyer, from here you will see several ‘doors’ leading to the ‘Exhibition’, ‘Auditorium’ etc.

To enter the exhibition, click on the door titled ‘exhibition’. You will now see a scrolling exhibition hall with booths designed with each suppliers branding. Scroll through the exhibition or search the directory for vendors suiting your area of interest.

To engage with an exhibitor, click on their stand. From here, you can explore the resources available, or select to network via text, voice, or video chat. A selection of exhibitors will also be offering scheduled product demos streamed directly from suppliers’ own offices and factory floors.

This functionality is limited to our premium pass holders only.

NEW FOR 2021! We are excited to introduce a new feature to our next FTE APEX Virtual Expo event, which will allow for our Premium attendees to reach out to exhibitors and attendees alike, to secure meetings and manage their schedule, ahead of the live days.

Attendees will have access to the event site, from Monday 26th April 2021, where they can view, search and filter our registrants and exhibitors list(s) for industry connections.

Select a time and send a meeting request. This will generate an email invitation to your fellow attendee, which they can choose to accept/decline, and add to their personal Outlook/Google calendar.

Meetings booked here will display on your schedule of appointments when logging into the event site during our live days.

Please note:

  • You are unable to send two meeting requests for the same time slot.
  • A recipient can accept can receive multiple requests for the same time, it is up to the attendee which they accept.

Remember - Connections will continue to be made during the 30-days the event site remains open as a resource and for attendees to explore your stand content, and to reach out to you with a sales enquiry.

The conference will be split into CEO, Airport, Inflight, Commercial and Digital sessions, which will focus on a wide range of the most pertinent topics, including: Health Passports & Biosecurity; Touchless & Socially Distanced Travel; Digital Transformation & Automation; Cost Reduction & Operational Efficiency; Reimagined Guest Experiences; Protecting & Empowering Workforce; Offsite & New Processing Practices; and Commercial, Retail & Ancillary Innovation to help create new revenues streams at the earliest opportunity. Our case study focused approach will help to champion innovations from around the world, all in keeping with our “Relaunching global air transport” theme.

The conference will include dedicated Asia-Pacific, EMEA and Americas content, and interactive conference sessions will run throughout the day to ensure that everyone can get the most out of the education on offer regardless of their location or time zone. Our auditorium sessions will also be complemented by our On-Demand Speaker Zone, where we will have a wealth of specially recorded presentations ready to go as soon as attendees visit the event, plus as a new addition for 2021 we will host free-to-attend sessions for all attendees and will provide a wealth of quality education sessions on our Expo floor.

When logging into FTE APEX Virtual Expo, you will be guided to a virtual foyer – from here, simply click on the door marked ‘Auditorium’. Once inside the auditorium, you can click on the presenting screen which will bring up a full schedule of education content. Click on the session you are interested in attending and you’ll automatically join.

Yes! All sessions are recorded and converted into OnDemand content within 2 hours of being broadcast live. You can catch-up on the day, or revisit and watch again during the 1 month the event stays online after the event.

Yes! During live sessions you can submit questions to the participating speakers via the conference webpage. Our speakers will be able to see your questions come in, and address these during the session. If we run out of time to answer all questions, I’m sure speakers will be happy to type you a response once the session has finished.

Our free EXPO pass is available to all.

Airports/Airlines/Government Associations/Destination Partners/Rail/Cruise/Bus* are all invited to register on our complimentary premium pass (when committing to meet with 1+ virtual exhibitors).

*To qualify, attendees must be sole and direct employees of one of the above-mentioned organisations.

The following representatives would be classed as Vendors:

We are accepting payment via Visa Debit/Delta, Visa, Mastercard and American Express.

Unfortunately, cheque or bank/wire transfer payments are not accepted for this event.

There is a 100% cancellation fee on all registrations.

We are willing to complete a name change on your booking, allowing for one of your colleagues to attend the event in your place. Name change requests must be received no later than 2 weeks prior to the event dates.

The event will open on the 25th May 2021. Prior to this date, access will be restricted to exhibitors building their stands, only.

You will receive access details with a weblink and password via email in the days prior to the event. This email will also include helpful user information, to ensure you make the most of your time at the event.

We will email you in the days prior to the event with a link and password, you will be able to use these details to access the event on the live days, and for 30 days the event stays live.

The event lives online for 30 days (closing at 23:59 on Friday 25th June 2021) for continued access to the exhibition and conference content. But remember, the stand personnel will no longer be manning the stands, nor will attendees be live and within the chatroom. The site is designed solely as a resource during these additional days.

Of course. We welcome as many attendees from one organisation as are able to attend – after all, there is content useful to every department of your organisation.

Unfortunately, we have kept the registration fees as low as possible to allow all companies both large and small, to participate. For this reason, we are unable to offer any discounts.

No. You will need a webcam should you wish to have the ability to receive and request a video chat, but it is not required in order to participate.

No. You do not need to download or install any software to participate. You only need to have access to the internet and register for the event in advance.

Yes. Like any physical event, we will have a swag bag for you! You can add all of the documents available to the online swag bag in your account and then email them to yourself or share items with colleagues by simply entering their email.

We are delighted to offer some accredited members of the press, complimentary premium access to the event. Just email a copy of your official accreditation to ali.loving@futuretravelexperience.com. After approval you will be sent instructions on how to register.

There are two ways to offer product demonstrations on your virtual exhibition booth:

One-to-One Demonstrations – This would be offered when an attendee visits your stand and wishes to engage with you. To showcase your product live, you would utilise the video chat functionality. This would allow for a face-to-face interaction between the attendee in their home or office, and yourself on the your factory floor or facilities. From here, you can chat through your solution and showcase your product live.

Scheduled Demonstrations – This would allow for a group of attendees to all view your solution at scheduled times outlined by you. Please refer to your exhibitor manual (you will have receive this from Sophie Andrews: Sophie.andrews@futuretravelexperience.com) for further information on how you integrate these demos into your stand.

Any live event much later this year will be a regional gathering as long-haul travel won’t return with any conviction until 2022, so FTE APEX Virtual Expo 2021 will not only be the industry’s most significant virtual event of the year, it will also be the industry trade show that once more attracts the widest global attendance in 2021. When securing your stand with our sales team, they will have outlined several stand design options available to you. These designs are created to replicate the stand constructs of a live trade show and differ in style and size. As part of the creation process, each exhibiting company will be responsible for selecting their chosen stand from those available to them and importing the relevant design artwork. Once completed your stand will look very much like a booth at a real-life trade show, stand personnel and all.

Stand personnel pass allocation varies depending on the size stand you have secured. Please consult your contract for further information.

Our exhibitor stand personnel passes reflect all the inclusions of a premium pass. Our exhibitors will have full access to the exhibition floor, conference sessions and networking functionality.

Yes of course. Should you wish to secure additional stand personnel passes, we are delighted to offer these at a rate of 50% of the published vendor rate.

Yes, all colleagues registered on a stand personnel pass or purchased on the additional stand personnel pass rate will receive access to the conference. Should your colleagues register on our free-to-attend EXPO pass, they will be classed as an attendee only, and will only receive access to the exhibition (and will not be given status to respond to attendees visiting the stand).

Following completion of your contract, our team will be in touch to share a logistical manual with you. This will outline everything you need to know about participating in the event and making the most of the features available on the platform, it will also include your personalised admin login details. This process can take up to 5 working days as we enter all your package details onto the site, so please bear with us.

After logging into the admin site, our virtual event platform provides an easy to use exhibitor portal, allowing our exhibiting companies to select their stand design, upload design work (to the dimensions outlined on the stand design), import resources, add links and register their stand personnel. Your stand is created entirely by your team, but we are here to help in any way that we can.

We ask all exhibitors to finish the uploading process no later than 3 weeks prior to the event. After this, the FTE team will complete technical checks of all stands and will only accept functionality changes.

Exhibitors will be given access to the admin portal of the site to upload design work, import resources, add links and register their stand representatives; this will be done in the weeks following contract completion, securing your company’s participation in the event. Please note, all changes must be completed no later than 3 weeks prior to the event.

We have stand packages available for all business types, be it large or small.

We will be able to provide full analytics for attendee visits and how they have engaged with your content, including:

  • How many attendees have visited your stand
  • Who these attendees are – Name, Job Title, Company Name and Areas of Interest.
  • What content tabs they have clicked on
  • Which external links they have followed
  • What documents they have downloaded or added to their personal swag bag
  • What videos they have watched (including how many times they watched them)

The full stand build needs to be completed no later than 3 weeks prior to the event. After this, all design elements, resources, and links are imported onto the system and thorough technical checks completed. This is a manual process and takes some time. For this reason, changes cannot be complete changes once the event is live.

See image, an example of an exhibitor’s page of resources. You will have your fully customisable stand design displayed at the top, underneath are content links (here you can link to external sites such as your corporate website, contact us forms, social media pages etc..), this also includes a chat button which takes attendees into your personal chat forum. Underneath this, there is an additional navigation banner, here you will add descriptive content, uploaded resources, and links (such as About Us information, brochures, manuals, and explanatory/promotional videos). To the right-hand side, attendees can see ‘Users Online’, they can click on a stand representative to engage with them.

Your stand will look exactly like it does during the event open days, all images, links, and documents will be accessible for the 30 days the site remains live.

When registering your stand personnel on the system we will ask you to specify each representatives’ ‘availability to chat’; essentially the time that they will be online manning the stand.

We can display your ‘Availability to Chat’ schedule on the booth so that attendees know when to expect you. You might like to bear in mind that there will be attendees logging in from all time zones globally, so it might be a nice idea to stagger your stand personnel and ensure you have at least one person online at any one time.

After the event days have taken place, attendees will be able to reach out to you using the contact information or contact us form you have added to your stand page.

The FTE APEX Virtual Expo provides a live networking environment much like a physical exhibition floor. Exhibitors will engage with attendees in real time when they visit their stand.

When an attendee visits your stand, you can connect via one-to-one text, voice, and video call. If you are busy on a call, you can drop them a quick text-based message to inform them that you will be available in 5 minutes.

To manage large volumes of attendees during peak times, each exhibitor also has an open forum chat where you can connect with multiple attendees at once time.

New to 2021 our exhibitors also have access to their dedicated back-office site for viewing analytics and downloading reports. You will be able to view details of anyone who may have visited your stand whilst offline and drop them a follow-up message via the attendee list. This will generate an email notification to the attendee, inviting them to revisit the event site to continue communications or arrange a suitable time for a chat at a later date.

FTE APEX VIRTUAL EXPO 2021

Future Travel Experience (FTE) and the Airline Passenger Experience Association (APEX) will jointly host the industry trade show with the widest global attendance in 2021, FTE APEX Virtual Expo. Through a diverse exhibition showcasing the industry’s most forward thinking vendors and all-encompassing conference sessions, Virtual Expo will deliver a wealth of networking opportunities and inspiration across the most pertinent topics – from transforming the travel experience through digital health passports and automation at the airport, through to enhancing the onboard experience through inflight entertainment and connectivity, interiors, service and catering, hospitality and retail.
